Confidentiality Policy

All information received within Southway Playcare either written or verbal is kept within the setting.

However in the event of concerns regarding a child’s health and welfare, we have an obligation to inform the relevant agencies.

If a parent requests to see any information about themselves or their child then they have the right to do so, and it’s are job to give the correct information to the Parent/Carer.

If at any time a member of staff breaches confidential information to another staff member or the public they will be instantly disciplined.

Sick Policy

If a Child is taken ill during a session, every effort will be made to get in contact with the Parent/Carer. The child will be moved to a quiet area and a member of staff will monitor him/her at all times. If the child is infectious then there will be exclusion for at least 48hrs.

Southway Playcare would refer to the Spotty Book for infectious diseases and the exclusion period.

If the child’s condition causes concern and no contact has been made with the Parent/carer, the child will be taken to hospital.

Any child that has not attended school that day is not permitted to attend Southway Playcare. This also includes staff children. These children will be excluded from using communal areas for 48hrs too.

It is our duty to spot and record any illness of children in our care and we will inform parent/carer at the end of the session of anything that we notice or action we took.

Any illness and treatment given must be recorded in the accident book in the same way as the accident and duly signed by the parent/carer.

It is the parent’s responsibility to keep us informed of any changes to addresses or telephone numbers so we are able to get in contact with you if your child is taken ill. We do try to update registration forms yearly for this reason.

Notification to Ofsted must be made within 14 days if a serious injury or death.

Complaints Policy

Any complaints or grievances from parent/Carer should initially be made verbally to the leader of the session. If unresolved, it should be referred to the project leader for further discussion.

If the matter is not resolved by discussion to all parties concerned then the complaint should be sent in writing to the Chair of the Committee based at the Centre.

If the matter is still not resolved to the satisfaction of all parties concerned then the complaint should be passed on to the Trustees of Southway Playcare. 

A Full investigation will then be carried out by the committee in consultation with all parties concerned and the matter will be dealt with in 28days.

The complainant will be sent a written response to the complaint outlining the action, which has been taken, asking them to sign a resolution of the complaint.

At any time parents/carers are able to contact Ofsted at the address below for childcare  and holiday groups. Junior Youth club is only governed by the Trustees , so complaints go direct to them only.

If appropriate, the complaint will be reported to Social Services and Ofsted to be dealt with under the Children Protection or Allegation against a Member of Staff Policies.

Behaviour Policy

Young people in our project are involved in establishing their own rules with clear Guidelines being set for unacceptable behaviour. The guidelines involved playing safely, respecting each other and looking after the building and equipment.

Our staff promotes co-operative and positive behaviour and young people are treated with respect. Language and behaviour designed to be offensive to any individual is totally unacceptable and will not be tolerated.  This includes Bullying, Shouting, Racism and Sexism.

Southway Playcare is a dedicated team and believes that all children have the right to play, but also must agree with ground rules and respect one another.

We as a setting promote and reward positive behaviour this could be as small as helping with tea which the children love to do. Positive behaviour is recognised with a thank you for playing so well or thank you for helping another individual. 

If a young person is behaving unacceptably and or disrupting the session then the staff will take positive action, taking into consideration the age and stage of development of the young person

This may involve the removal of the young person from the activity to a quiet place to chill out.

AT THE HIGHEST POINT WHERE WE FEEL WE NO LONGER HAVE CONTROLL OF THE INDIVIDUAL CHILD AND FOR THE SAFETY OF OTHER CHILDREN OR STAFF WE WILL CALL PARENTS/CARERS TO COME AND COLLECT THEIR CHILD.

Practices that threaten, frighten or humiliate young people are never used.

We use no corporate punishment or physical action

Physical action is only used in an emergency to prevent a physical injury either to a young person, other young people, an adult or serious damage to property

Any such incidents are recorded.

In the event of repeated unacceptable behaviour, the parent/carer will be informed at the end of the session,

We will then sit with the parents and the child and put together an agreement that has been signed by all, this will then give ownership of the agreement, if the agreement is broken then the next step for us to exclude. The amount of time will depend on the severity of the individual’s behaviour

Exclusion from participation in our activities is the last resort

If we consider exclusion due to children’s behaviour issues we have clear guidelines in place. These procedures must be robust in outlining what measures are taken and support that is needed and look into other services that may be able to help with certain children’s behaviour. Every young person starts a new day with a clean slate.

Before exclusion is put into place we try to work out with other agencies to see if we can find the stem of behaviour, schools, doctors, health visitors and inclusion services.

Young people are encouraged to report inappropriate behaviour so that it can be challenged.

We promote good table manners

All staff is expected to undertake appropriate training

The SENCO will take the lead to establishing and maintaining communication with key people including parents, carers, leader’s managers and other involved agencies or support team.

We strive to identify and relate equal opportunities and anti-discriminatory issues to the work and practice of our organisation and where necessary, implementing training advice support and information in support of this policy to all those in our service.

We are committed to a program of action to make this policy fully effective.
